    Frequency and volume

    • How often does this workflow run, and how much work does it handle each time?
    • Does its volume or timing change by day, season, deadline, or demand?
  2. 02

    Handoffs

    • Where does work wait, get re-entered, or change hands?
    • Who owns the next step at each handoff, and how do they know it is ready?
  3. 03

    Existing tools

    • Which systems, documents, or communication channels are involved?
    • Where is the source of truth, and where do staff copy information between tools?
  4. 04

    Sensitive information

    • What categories of information are involved, and which roles need access?
    • What information should stay out of an evaluation? Describe categories only; do not share actual customer records.

    Human judgment

    • Which decisions, exceptions, or approvals need a person?
    • Where do people correct work, resolve uncertainty, or decide when to escalate?
  6. 06

    Team adoption

    • Who does this work today, and who would own a changed process?
    • What training, feedback, or support would the team need to use a change?
